- Build a useful environmental register
- Set objectives the team can act on
Use the current edition and check transition arrangements
ISO’s official catalogue identifies ISO 14001:2026 as the current published edition. The older 2015 edition remains relevant to existing documents and certificates during their applicable transition arrangements, but should not be advertised as the newest standard in an October 2026 guide.
If your organisation holds a 2015-edition certificate, ask the certification body for the requirements and deadline applicable to that certificate. Do not assume that a date quoted in an old article applies to every body or contract. Keep the existing certificate and the written transition plan together.
Define the activities and sites in scope
An environmental management system helps an organisation organise how it manages its environmental effects. Start with the actual activities, locations, products and services you control or influence. A narrow scope that excludes the activity causing the main environmental problem can mislead customers.
Map a normal workday: materials arrive, products are made or services delivered, energy and water are used, and waste leaves the premises. Include maintenance, outsourced work, storage and unusual conditions such as a spill or equipment failure. Assign people who understand those operations to the review.
Build a useful environmental register
List the significant environmental aspects and the reasons for prioritising them. Record the relevant permits, consents, waste authorisations, reporting and contractual requirements separately. Certification is not a substitute for pollution-control consent or another legal permission.
Use measurable information where possible: energy bills, water readings, waste quantities, incidents and disposal records. If data is incomplete, record the gap and how it will be measured. Do not invent a percentage reduction or label a product environmentally friendly solely because the organisation seeks certification.
Set objectives the team can act on
Choose a small number of practical improvements with a baseline, responsible person, resources and review date. Examples include preventing a repeated spill, reducing rejected material or improving segregation of a defined waste stream. A target should connect to a real environmental issue and not just a publicity campaign.
Train staff on the controls they need to use, including contractors where relevant. Keep instructions understandable and accessible. Emergency arrangements should explain who acts, what equipment is available and how incidents are recorded and reviewed.
Review performance before an external audit
Use internal checks to test whether the controls operate in practice. Examine a sample of waste movements, inspect storage, speak to staff and compare the records with what happens on site. Management should review unresolved issues and provide resources rather than merely sign a policy.
For an illustrative workshop, a useful project could link solvent storage checks, spill response, waste collection evidence and staff training. That creates a traceable system without promising that certification guarantees zero incidents or automatic savings.
Describe certification accurately
If independent certification is needed for a customer or tender, confirm the standard edition, scope and certification-body arrangements. Read the certificate before making a website claim. Certification of a management system should not be presented as product approval or proof that every environmental statement is verified.
Continue measuring and correcting problems after the audit. A certificate can support confidence in the system, but routine maintenance, compliance monitoring and honest reporting remain necessary.
Practical review before you proceed
Prepare a concise implementation file containing the agreed scope, process owners, current problems, relevant legal or customer requirements, training needs, internal review findings and actions still open. Ask for a quotation that identifies the standard edition, sites, audit scope, surveillance arrangements and exclusions. Keep advice and certification decisions distinct, and verify the issuing body and certificate details before publishing a claim. The organisation should be able to demonstrate how the system operates on an ordinary working day, not only present a prepared folder when an auditor visits.
Frequently asked questions
Does ISO issue the certificate itself?
No. ISO develops standards; certification is carried out by external certification bodies. Verify the issuing body, certificate scope and any claimed accreditation. Avoid wording that suggests ISO itself audited or approved the organisation.
Does certification replace a statutory licence?
No. A management-system certificate and permission to conduct a regulated activity serve different purposes. Keep the applicable licences, consents and legal requirements in a separate compliance register and verify that they remain valid.
Is ISO 14001:2015 still the latest edition?
No. The official ISO catalogue now lists ISO 14001:2026. Existing certificate holders should confirm their transition arrangements with the certification body instead of relying on an old guide or an assumed universal deadline.
Can a small service business use the standard?
Yes, the system can be proportionate to its activities and impacts. Start with the important issues for that business, such as energy, purchasing, travel or waste, rather than copying a factory’s procedure manual.
What evidence should be ready for a review?
Keep the scope, aspect assessment, compliance register, monitoring data, training, incident records and corrective actions available. The evidence should show how the system works, including unresolved issues and management decisions.
