ISO’s current catalogue lists ISO 9001:2026, published in September 2026. A guide describing ISO 9001:2015 as the newest edition is therefore out of date. Existing certificate holders should confirm the transition requirements for their certification and customer commitments with the issuing body.
Do not assume that purchasing a revised manual or changing the year on a policy completes a transition. Read the relevant requirements, compare the existing system and agree an action plan with the people responsible for the actual work.
Start with the customer’s real requirements
A quality management system should help the business deliver what it agreed to supply. Begin with a sample of customer orders and complaints. Identify what was promised, who approved it, how changes were handled and what evidence shows delivery was acceptable.
For a service business, quality may involve scope accuracy, turnaround commitments and record handling. For a manufacturer, specifications, incoming material, process settings and release checks may be central. Avoid copying procedures that describe a different organisation’s work.
Map responsibilities and control points
Write a simple process map from enquiry to delivery and after-sales support. Identify who makes decisions, where errors are likely and what checks prevent or detect them. Keep controlled templates and records where they reduce mistakes, rather than creating documents with no operational purpose.
Review suppliers and outsourced tasks according to their impact on the final result. A business remains responsible for deciding what evidence it needs from a supplier. A supplier’s certificate can be useful information, but it should not replace checking the product or service actually purchased.
Measure useful performance and fix causes
Choose indicators connected to customer outcomes: repeated rework, missed commitments, complaints, rejects or avoidable corrections. Establish a baseline and review trends. A large list of metrics is less useful than a few measures that trigger a clear decision.
When a problem occurs, distinguish immediate correction from the action needed to prevent recurrence. For illustration, repeatedly correcting wrong dispatch addresses may reveal a missing order-review step. Fixing that process is more useful than recording the same apology every month.
Prepare internal review and management decisions
Internal audits should test how the system works, using samples of real transactions and conversations with staff. Record gaps honestly and allocate corrective actions. Management review should consider customer feedback, performance, resources and changing business conditions, not merely approve a prewritten set of minutes.
For transition planning, compare the existing system with the new edition and record the changes needed. Obtain competent help where necessary, but keep the organisation’s managers responsible for implementing and sustaining the controls.
Choose certification for a clear purpose
Decide whether independent certification is needed for a contract, tender or commercial objective. Verify the proposed body, scope, sites and certification arrangements. ISO does not itself issue the organisation’s certificate, and a management-system certificate does not certify that every product is defect-free.
Budget for implementation, audit and continuing maintenance rather than a one-time piece of paper. Read the resulting certificate and use accurate wording about the entity, standard edition and scope. Continue the improvement work after the external audit.
Practical review before you proceed
Prepare a concise implementation file containing the agreed scope, process owners, current problems, relevant legal or customer requirements, training needs, internal review findings and actions still open. Ask for a quotation that identifies the standard edition, sites, audit scope, surveillance arrangements and exclusions. Keep advice and certification decisions distinct, and verify the issuing body and certificate details before publishing a claim. The organisation should be able to demonstrate how the system operates on an ordinary working day, not only present a prepared folder when an auditor visits.
